What we collect when you visit this site, ring the demo line, or have us run your business phone, and what we do with it.
1. Who is responsible
PhoneTwin, Robert Ward's business in Harrogate, England, is the controller of the personal data described here. Contact us on 01423 227770 or at buildova@buildova.io.
2. This website
This site sets no tracking cookies and runs no advertising or analytics scripts. Our web server keeps standard access logs, which include your IP address, the page you asked for and the time, for security and fault-finding. They are deleted on the normal server rotation.
If you start a call from the page on a computer, the page stores one random identifier in your browser so that call limits can be applied to that browser. It identifies the browser, not you.
3. Ringing the demo line
When you ring 01423 227770, or start a call from this page, the call is answered by an automated assistant and may be recorded. We hold:
- your phone number if you rang from a phone, or your IP address and the browser identifier if you called from the page;
- the recording and a written transcript of the call, and a short summary of what it was about;
- anything you give during the call, such as your name, email address, phone number and what you wanted, so that a meeting can be booked, a message passed on, or a quote sent;
- a note if a call was abusive, which we use to refuse further calls from that number or device.
We use this to do what you asked on the call, to follow up by text or email where you asked us to, to keep the line safe, and to improve how the assistant answers. Bookings go into our diary, and the calendar invite is sent to the email address you gave.
4. Running your business phone
If we build and run a phone for your business, you are responsible for your customers' data and we process it on your behalf, under the terms we agree with you. That means the calls, recordings, transcripts, messages, bookings and contact details your phone handles. We use them only to run your phone and to support you. We do not use your customers' data for anything of our own, and we do not sell it.
If we clone your voice, the recordings you give us and the resulting voice model are used only for your phone and are deleted when you ask.
5. Who helps us
We use a small number of providers to run the phone, under contracts that require them to protect your data and use it only for us:
- a voice provider that runs the automated assistant and the cloned voices, and processes the audio of each call;
- a telephone and text-message provider that carries the calls and texts;
- Google, where a booking is written into a Google Calendar and a video link is created;
- a payment provider, where a quote is paid online. Card details go to them, never to us;
- an email provider for confirmations and follow-ups, and a hosting provider for the servers.
Some of these providers process data outside the UK, under safeguards recognised by UK law. We may also disclose data where the law requires it or to protect our rights.
6. How long we keep it
Call recordings, transcripts and messages from the demo line are kept while they are useful for running and improving the line, and no longer than needed for that. Booking and quote records are kept for as long as we need them for accounts and tax. Server logs are deleted on rotation. For a phone we run for your business, retention is whatever we agree with you, and everything is deleted when you leave, apart from what we must keep by law.
7. Your rights
You can ask for a copy of what we hold about you, ask us to correct or delete it, or object to how we use it. Ring 01423 227770 or email buildova@buildova.io. If you are not happy with our answer you can complain to the Information Commissioner's Office.
8. Security
Data is held on servers we control, encrypted in transit, with access limited to the people who need it. No system is perfectly secure, and we do not pretend otherwise.
9. Children
Our services are for businesses. We do not knowingly collect data from children.
10. Changes
When this notice changes, the date at the top changes.
